1. Who we are
This Privacy Policy explains how CertNow Limited (“we”, “us”, “our”) collects, uses, and protects information through the Legionella Guard mobile app (“the App”) available on the Apple App Store. Legionella Guard helps landlords and letting agents complete and record Legionella risk assessments for their rental properties.
2. Information we collect
When you use the App, we collect:
- Account information — your name, email address, and password, used to create and secure your account
- Contact details — a phone number, if you provide one
- Property information — property addresses and details you enter as part of an assessment
- Assessment content — the answers, notes, and photographs you submit while completing a Legionella risk assessment
- Digital Compliance Records — the reports generated from your completed assessments, stored securely against your account
- Purchase records — confirmation that a £9.99 assessment unlock was purchased, and its date/time. We do not receive or store your card details — these are handled entirely by Apple through In-App Purchase
We do not collect your device location, health data, or browsing/search history, and the App does not access your contacts.
3. How we use your information
We use the information above to:
- Create and maintain your account and let you sign in securely
- Let you complete Legionella risk assessments and generate your reports
- Store your completed assessments and Digital Compliance Records so you can access them later
- Process the £9.99 per-assessment purchase via Apple's In-App Purchase system
- Provide customer support if you contact us
- Keep the App secure and prevent misuse
We do not use your information for advertising, and we do not sell your personal data to third parties.
4. Legal basis for processing (UK GDPR)
We process your personal data because it is necessary to perform our contract with you (providing the assessment and report service you've signed up for), and because we have a legitimate interest in keeping the App secure and functioning correctly.
5. Who we share information with
We share limited information with the following third parties, only as needed to run the App:
- Apple — processes your In-App Purchase payment; we never see your card details
- Our hosting and cloud storage providers — store your account data, assessments, and reports securely on our behalf
We do not share your data with data brokers, and we do not use it for third-party advertising or tracking.
6. Data retention
We keep your account information and completed assessments for as long as your account remains active, and for a reasonable period afterwards to meet record-keeping and legal obligations around Legionella compliance documentation. You can request deletion of your account and data at any time — see Section 8.
7. Data security
We use industry-standard measures, including encrypted connections and access controls, to protect your data from unauthorised access, loss, or misuse. No method of storage or transmission is 100% secure, but we work to keep your information protected at all times.
8. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your account and associated data
- Ask us to export your data in a portable format
- Object to or restrict certain processing
To exercise any of these rights, contact us using the details in Section 11. We will respond within one month, as required by law.
9. Children's privacy
Legionella Guard is intended for use by landlords, letting agents, and property professionals, and is not directed at children. We do not knowingly collect personal data from anyone under the age of 16.
10. Changes to this policy
We may update this Privacy Policy from time to time, for example to reflect new App features. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this page periodically.
